1. Our Role

For account and billing data of our customers, we act as a data controller. For lead data captured from your connected lead source(s) and processed via WhatsApp, we generally act as a data processor on your behalf; you are the controller and are responsible for the lawful basis to contact those leads.

2. Information We Collect

• Account data: name, business name, email, phone number, billing details and login credentials.
• Lead data: captured from connected lead sources: lead name, phone number, product enquired, requirement details and the responses given during WhatsApp qualification.
• Usage data: log data, device and browser information, IP address and interactions with the dashboard.
• Cookies: used for authentication, preferences and basic analytics.

3. How We Use Information

• To provide, operate and secure the Service;
• To capture, qualify, score and categorise leads (Hot / Warm / Cold);
• To send WhatsApp messages and qualification conversations on your behalf;
• To process payments, manage subscriptions and provide support;
• To improve our features, including AI qualification quality;
• To comply with legal obligations and enforce our Terms.

4. WhatsApp & Messaging

Messages are sent through the official Meta WhatsApp Business Platform and are subject to Meta's terms and the WhatsApp Business Messaging Policy. We process message content to operate qualification flows. You are responsible for ensuring that contacting a lead complies with applicable consent and anti-spam requirements. Leads can opt out at any time, and we honour opt-out requests.

5. AI Processing

Lead responses may be processed by AI providers (such as OpenAI or Anthropic) to understand intent and assign scores. We share only the data necessary for this purpose and rely on providers' data-handling commitments. AI outputs are used for qualification guidance and are not the sole basis for legally significant decisions about individuals.

6. Sharing & Disclosure

We do not sell personal data. We share data only with:

• Sub-processors and infrastructure providers (cloud hosting, database, messaging, AI, payments) under appropriate agreements;
• Your authorised users within your workspace;
• Authorities where required by law or to protect rights and safety.

7. Data Retention

We retain account data for as long as your account is active and as needed to comply with legal, tax and accounting obligations. Lead data is retained according to your configured retention settings and is deleted or anonymised within a reasonable period after account termination, unless retention is required by law.

8. Security

We use HTTPS/TLS encryption in transit, access controls, tenant isolation and regular backups to protect data. No system is completely secure; we encourage you to use strong passwords and manage user access responsibly.

9. Your Rights

Subject to applicable law (including India's Digital Personal Data Protection Act, 2023), you may request access to, correction of, or deletion of your personal data, and may withdraw consent. Where we process lead data as a processor, requests from leads should generally be directed to the relevant customer (controller); we will assist as required.

10. Cookies

We use essential cookies for authentication and session management, and limited analytics cookies to understand usage. You can control cookies through your browser settings; disabling essential cookies may affect functionality.

11. Children

The Service is intended for businesses and is not directed at children. We do not knowingly collect personal data from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified through the Service or by email, and the "Last updated" date above will be revised.
